5. Calculated Fields and Report Filters

Lesson 5 of 6
Task 1 of 3
  1. Build a PivotTable in F1 by category with a calculated field "Average price" = Revenue / Qty.

Lesson theory

A calculated field is a new PivotTable field built by a formula from other fields (PivotTable Analyze › Fields, Items & Sets › Calculated Field). Note that Excel evaluates the formula on the sums of the fields in each cell. The field ='Revenue'/'Qty' in the "Drinks" row is all the revenue of drinks divided by all their quantity, that is, the average price, not the average of the order prices.

A report filter and a slicer keep only the records you need in the PivotTable: for example, only the online channel. A slicer is a set of buttons above the PivotTable, handy on a dashboard; a timeline is the same kind of filter for dates. The trainer has no slicer buttons: the "Report filter" field in the PivotTable window does their job.

Check a PivotTable with an ordinary formula: =SUMIFS(C2:C11,B2:B11,"Online",A2:A11,"Drinks").

Test yourself

1. In the grand total row, the calculated field ='Revenue'/'Qty' calculates…
2. Why is a slicer handier than a report filter?
3. You want to filter a PivotTable by months with a slider. What do you insert?
